If you have restrictions on workdays and work times, those items should also be spelled out in your scope (Example: Monday-Friday 8am to 5pm or dusk). 8. Terms & Conditions: This section of the RPF indicates that the bidders need to carefully examine the site and all conditions related to the proposed work. By submitting their estimate, they are confirming that they understand the project. • Let the bidders know that prices should include the cost of materials and disposal, labor, supervision, and all equipment necessary to complete the job. • Should the bidders find any discrep- ancies within the scope of work, they need to bring this to man- agement’s attention immediately, so that you have ample time to notify the other bidders of this potential change to the scope. You should include a deadline for discrepancies (Example: discrepancies should be indicated to management no more than 5 days prior to proposal submis- sion deadline). A significant change to the scope may require that you extend the bid due date, so that everyone has a chance to change their proposals accordingly. • Change orders are never fun but can be inevitable, so it is best to set forth the guidelines for change orders in the Terms & Conditions section.
